Services
Legal Secretarial Support We offer a wide range of legal secretarial services for the benefit of lawyers, including:
Transcription services - all transcription needs via phone, written instructions, dicta tapes, and digital file transcription. We will transcribe any document you require for the smooth operation of your legal practice, including witness statements, e-mails/voicemails, meeting summaries, transcript summaries
Word processing and formatting – letters, memos, reports, contracts, minutes, witness statements
Pleading and document production – applications and actions, and supporting documents, motion materials, pre-trial and trial materials
Service by fax, mail or courier; and arranging for personal service as needed
Scheduling process servers and arranging for court filing
Calendar management – booking of court dates, client meetings; reply and follow-up service, rescheduling and tickler/reminder system organization
Account preparation and distribution
File management – opening and closing files, file organization and general file maintenance
We are available to assist all practice areas. However, we are most versed in the production of materials related to the practice of civil/commercial litigation, family law, landlord & tenant, wills & estates and real estate

Word processing/document processing - compose, type or transcribe and edit correspondence, mailing lists, newsletters, reports, manuals, proposals, contracts, forms, programs and itineraries, labels, academic reports, welcome packages, general formatting (you provide the pre-typed content, we will format)
General project support – tell us how we may be of assistance
Data Entry
Travel arrangements - hotel and car reservations, flight booking, itinerary preparation, pre-booking of attractions/venues
Calendar management – scheduling and reminder service, meeting and calendar coordination
Communication management – reception, returning and following up on business communications, scheduling appointments, client follow up (preparing thank you notes, prepare and administer client surveys/questionnaires and compiling the data in a report)

DESKTOP PUBLISHING - We would be pleased to assist with the production of:

PRESENTATIONS - We use Microsoft PowerPoint for the production of your presentations. We will incorporate tables, graphs, sounds and graphics into your presentation to give you that ‘WOW’ factor
If needed, we will prepare handouts
If needed, we will package your presentation on CD
PHOTOCOPYING/BINDING - We can assist you with your small, medium or large volume print needs. You provide the materials and we will arrange for them to be copied, bound and distributed
INTERNET RESEARCH - We will research topics requested by you, gather the information you have requested, and provide you with our findings
SCANNING - The transfer of hard-copy images and documents to computer or disk; Scanning of photographs, images, and other documents using Epson RX500; Preparation of photo CDs
RESUME SERVICES - You provide the content and we will provide suggestions for content change, design and layout. We also offer covering letter preparation and delivery service
HUMAN RESOURCES SUPPORT - Updating and maintaining policy and procedures manuals
Personal assistance from booking your appointments and returning calls, to the production of flyers, brochures, open house schedules, sign-up lists and marketing materials for use at the open house. Please call us to discuss your individual needs!

RATE SCHEDULE
HOURLY RATES
Regular Hours (Monday - Friday 10:00 am – 2:45 pm.)
$35.00 - $40.00 per hour
After/Prior to Regular Hours - by prior arrangement
Weekend Service - by prior arrangement
NOTE:Rush/after regular hours and weekend support provide an ‘as soon as possible’ turnaround time, and are subject to a 15% increase in rates
Pay-as-you-go/by the hour clients are billed in 6 minute increments, with a minimum 1 hour charge
RETAINER PLANS
Retainer Plan rates are based on “Regular Hours” of operation and are pre-paid at the beginning of each month.Work performed outside regular hours is subject to a 15% increase in rates.

10% Discount
Discount is based on hourly rate quoted.Monthly hours in excess of plan’s allotted hours are charged at ‘Plan’s Hourly Rate’ amount.
All Retainer Plans are billed in 6 minute increments.Unused hours do not carry forward to the next month, nor are they refundable.
Project Rates are available. We would be happy to discuss your company’s needs. Please provide us with several dates and times when you can best be reached to discuss the specifics of your project.
INCIDENTAL EXPENSES
Any expense incurred specific to a client’s task (ie, copying, postage, courier, letterhead, stationery, long distance costs, 'non day-to-day' office supplies*) are billed back to the client. Everyday office supplies* and equipment are our responsibility and expense and are, therefore, not billed to the client.
* 'everyday office supply' designation is at the discretion of the VA
TERMS OF PAYMENT
We accept Interact Email Money Transfers, certified cheques, Bank Drafts/Money Orders and business cheques. Payment must be delivered and clear the bank prior to the release assigned task.
Monthly retainer packages are due and payable at the beginning of each month.
A 50% deposit is required on all per project tasks prior to commencement of work. Payment of the remaining 50% is due in full prior to delivery of the finished product.
All NSF cheques are subject to a $35.00 service charge, plus applicable bank charges.
Invoices remaining outstanding after 30 days from the date of invoice are subject to a 2% interest charge per month.
RATE INFORMATION
All retainer rate plans are billed in 6 minute increments.
All pay-as-you-go/hourly rate tasks are billed in 6 minute increments, with a minimum 1 hour charge.
All rates are in Canadian dollars, plus HST (excluding foreign clients, who are not charged HST), plus incidental/disbursement charges.
[1] Translation (excluding transcription) example: A 400 word legal document, with a ‘quick’ turnaround time, would cost $148.00 to translate, including proofreading.
